Shopify Unfulfilled Orders: What the Status Means and the 3 Deadlines It Starts
Last updated: · Platform policies and regulations change. Verify with official sources before acting.
Your Orders page shows a count next to Unfulfilled, and it is not going down as fast as it should. Some of those orders are normal work in progress. Some are stuck, and a few are quietly running out of time.
Shopify defines the status in one line: “When an order is placed, it has the Unfulfilled fulfillment status.” In practice it stays there until you mark items as fulfilled, unless automatic fulfillment is turned on. What the help page does not spell out is that Shopify unfulfilled orders are not all the same problem. The same word sits next to a paid order, an order whose payment was only authorized, and an order still waiting for payment, and each of those has a different deadline attached.
This guide reads the status the way you need to act on it: next to the payment status, with the clock each combination starts.
Quick answer
Unfulfilled means none of the items in the order have been marked as fulfilled. It says nothing about payment. Read it together with the payment status in the same row:
- Paid + Unfulfilled — normal. The customer has paid and is waiting for the shipment you promised.
- Authorized + Unfulfilled — the most time-sensitive combination. On Shopify Payments the authorization lasts 7 days, and Shopify says you need to capture within that period to collect the money.
- Pending + Unfulfilled — payment has not been received yet (manual methods, payment terms). Usually do not ship.
- On hold orders do not appear in the Unfulfilled list at all, so filter for them separately.
Who this is for
US Shopify sellers who ship their own orders or use an app or 3PL, and who want to know which unfulfilled orders need attention today. If you sell only digital products or gift cards, Shopify can fulfill those automatically and most of this does not apply.
What “unfulfilled” means next to each payment status
Shopify tracks three statuses on every order: the order status (Open, Archived, Canceled), the payment status, and the fulfillment status. The Unfulfilled filter on the Orders page is about the third one only. The combination is what tells you what to do.
| Payment status | With Unfulfilled, it means | What to do |
|---|---|---|
| Paid | Money captured; nothing shipped yet | Ship within the time you stated. This is the normal queue |
| Authorized | Card validated, money not captured. Shopify’s status page says it shows when you capture payments manually; its authorization page describes capture at fulfillment the same way (“Authorized at checkout”) | Capture or fulfill before the authorization expires. Shopify adds an Expiring badge (a badge, not a status) two days before the deadline |
| Expired | The authorization lapsed before capture | Do not ship on the expectation of that payment. Contact the customer for a new payment |
| Pending / Due | Waiting for payment (manual method, payment terms); Due means payment has not been captured by the due date in the payment terms, including payments due today and overdue ones | Usually hold the shipment until it is paid |
| Partially paid | You captured less than the order total | Confirm the balance before shipping the rest |
| Refunded / Voided | Money returned or authorization released | Do not ship. The order should move to Fulfillment not required or be canceled |
Fulfillment status has more values than Unfulfilled and Fulfilled. Partially fulfilled means some items shipped. In progress means you marked it as being prepared. Scheduled is for prepaid subscription orders before their fulfillment date. On hold blocks fulfillment until the hold is released. Fulfillment not required means there is nothing left to ship, because the order was canceled, fully refunded before shipping, or had its items removed. Definitions from Shopify’s order status page.
Why an unfulfilled order is not just a to-do
An unshipped order is more than a pending task. Three separate deadlines can start the moment it is placed, and Shopify documents each one on a different page.
1. The authorization clock: 7 days on Shopify Payments
If your store captures payment manually, or automatically when the order is fulfilled, checkout only authorizes the card. Shopify’s payment authorization page says Shopify Payments provides an authorization period of 7 days, and that you need to capture within it to collect money for the order.
The trap is in the limitations of capture at fulfillment. Shopify lists them plainly: payment can only be captured within the authorization period, and the entire order must be fulfilled for automatic capture; partially fulfilled orders won’t be captured. So an order with one backordered item can sit as Partially fulfilled, never trigger the capture, and run out the 7 days while you wait for stock.

Get the free checklist →Shopify lets you set a notification email to warn you one day before an authorization expires. If you capture at fulfillment, turn it on. Shopify Plus stores can use extended authorization on some cards (up to 30 days on Visa, Mastercard and American Express), with a 1.75% charge when you capture after the standard 7 days.
Which capture setting to use, and how to recover an order whose authorization has already expired, are covered in Shopify capture payment.
2. The shipping-time rule: the FTC’s 30 days
US federal law sets a deadline too. The FTC’s Mail, Internet, or Telephone Order Merchandise Rule requires a seller to have a reasonable basis for the shipping time it states, and to ship within that time, or within 30 days of a properly completed order if no time is stated.
When you cannot ship on time, the rule expects you to tell the customer before the deadline, give a revised shipping date (or say you do not know one), and offer the option to cancel for a full, prompt refund. The refund is due within 7 working days once the customer’s right to it vests, and that includes ordinary card payments, where a card issuer is the creditor. The longer one-billing-cycle window applies only when you extend the credit yourself, such as a store credit account (16 CFR 435.1). The FTC’s guide lists civil penalties of up to $53,088 per violation, as updated in January 2025.
Timing matters. The FTC’s guide says the delay notice should go out within a reasonable time after you first learn you cannot ship, and no later than the shipping date you promised. If that date has already passed with no notice, the rule (16 CFR 435.2) may treat the order as one you should cancel and refund promptly, rather than one you can still delay. An Unfulfilled order older than the shipping time on your product pages may already be there. This is general information, not legal advice; the FTC guide and a lawyer are the places to confirm how it applies to your store.
3. The inventory clock: units are committed but not gone
Unfulfilled orders hold inventory. The units count against Available but are still physically on your shelf, which is why On hand and Available disagree (explained in Shopify inventory: available vs on hand). That is usually correct: committed units are owed to customers, so Available is the right base for a reorder. It goes wrong when the list holds orders that will not ship as recorded, such as orders already shipped but never marked fulfilled, or orders about to be canceled. Those make Available look lower than it should, which can lead to over-ordering. Step 5 of the triage routine below clears them.
Why Shopify unfulfilled orders get stuck
Stuck orders usually trace back to one of six causes. Each has a different place to look.

Join the newsletter →- No one marked them shipped. If you buy labels outside Shopify, the order stays Unfulfilled until you add tracking and mark it fulfilled. The fix is a routine, not a setting.
- Payment is not complete. Pending, Due and Authorized orders are unfulfilled by design until you decide to ship.
- A partial shipment. One item is backordered, so the order is Partially fulfilled. With capture at fulfillment, this is the case that can let an authorization expire.
- A fulfillment app or 3PL did not sync. The parcel left the warehouse but the tracking did not post back to Shopify. Check the app’s own order log before you reship anything.
- A hold. You, an app, or a system process (pre-orders, post-purchase upsells, marketplace and Managed Markets authorizations, exchange items waiting on the returned item) placed the order on hold. Shopify’s fulfillment hold page says on-hold orders are excluded from the Unfulfilled list, so they can wait unseen.
- Fraud review. You are checking a high-risk order before shipping. That is a deliberate delay, but it still runs against the clocks above.
One setting creates the opposite problem. Shopify’s order processing settings can mark every order fulfilled automatically. Shopify itself warns: if you package and ship products yourself, do not turn it on, because all new orders are marked fulfilled and you can no longer sort out the ones that still need to ship.
The daily triage routine
Ten minutes a day keeps the list honest. Work in this order, because it goes from the deadline that costs money to the one that only costs time.
- Filter Payment status: Authorized, then sort by date. On Shopify Payments’ 7-day authorization, capture or fulfill anything placed 5 or more days ago; that is when the Expiring badge appears. The exception is an order under fraud review or likely to be canceled: finish the review before the authorization expires, and if you will not ship it, cancel instead of capturing. Canceling an uncaptured order releases the authorization, while capturing and then refunding costs you the card fee. Other payment providers set their own periods.
- Filter Fulfillment status: On hold. Those orders are not in the Unfulfilled count. Release holds that are finished, and note the reason on any that stay.
- Filter Unfulfilled, oldest first. Compare each order’s age with the shipping time on your product pages. Anything approaching it gets a delay notice with a revised date and a cancel option, before the date passes. Anything already past it with no notice sent is handled as in the decision rule below.
- Check Partially fulfilled. Decide per order: wait for stock, ship what you have and refund the rest, or cancel the remaining items. If you capture at fulfillment, capture these manually so the payment does not expire.
- Clear the false positives. Orders already shipped through an app or by hand get their tracking added and are marked fulfilled.
Canceling has a cost to weigh. Shopify’s canceling orders page notes that credit card transaction fees are not returned when you refund, so canceling a captured order costs you the processing fee. A partially fulfilled order cannot be canceled directly; you cancel the fulfillment first or refund the remaining items.
Forvendo decision rule
Use the payment status to set the priority, and the age to set the action:
| If the order is | And it is | Then |
|---|---|---|
| Authorized | 5+ days old | Capture today, even if one item is still on backorder |
| Paid | Within your stated shipping time | Ship in normal order |
| Paid | Approaching your stated shipping time | Send the delay notice now, with a revised date and a cancel option |
| Paid | Past your stated shipping time (or 30 days if you state none), and no notice was sent | The FTC rule may treat this as an order to cancel, with a refund due within 7 working days. Contact the customer today and offer the refund. Ask a lawyer before shipping on the customer’s agreement to wait |
| Pending or Due | Any age | Do not ship until paid, unless you extend credit on purpose |
| On hold | Any age | Find out who placed the hold; release or record the reason |
Do not do this yet: do not turn on automatic fulfillment to make the Unfulfilled count go to zero. The Unfulfilled list, together with the On hold filter, is your record of what you still owe customers.
Worked example
A composite example, not a real store. A one-person store selling ceramic mugs captures payment at fulfillment, so checkout only authorizes cards. On a Monday the Unfulfilled list shows 14 orders.
Because the store captures at fulfillment, card orders are Authorized at checkout, not Paid.
- 11 are one to three days old. They ship this week as usual.
- 2 are six days old. Each includes a glaze color that is out of stock until next week. Shipping the in-stock mug alone would make them Partially fulfilled, and capture at fulfillment would still not trigger, so the 7-day authorization would run out on day 7. The owner captures both payments manually today, ships the in-stock items, and emails each customer, before the stated shipping time runs out, a revised date for the rest with an option to cancel the delayed item or the whole order.
- 1 is three weeks old and was paid by bank transfer, a manual payment method the owner marked as paid. The product pages promise shipping in 3 to 5 business days, so this order is well past the stated time, and no delay notice went out. The owner contacts the customer today and offers a full refund rather than shipping late.
Separately, filtering Fulfillment status by On hold shows 3 pre-orders placed by the pre-order app. They were never in the 14.
The result: no authorization expires, every late customer is offered a date or a refund, and the owner knows the true count of orders owed is 17, not 14.

The main version covers a known new date no more than 30 days late; use a variant otherwise. In the variants, silence does not count as agreement to wait, which is why they ask for a reply. Send it before the original shipping time passes, not after. Keep a copy with the order (the order timeline’s comment box works) so you can show when the customer was told.

- Returns and exchanges, which have their own statuses (Return requested, Return in progress, Returned).
- B2B and draft orders with payment terms, which follow the Due status and the terms you set.
- State consumer-protection laws that may add requirements beyond the FTC rule.
- Marketplace channels such as Amazon or eBay orders synced into Shopify, which carry the marketplace’s own shipping deadlines.
Frequently asked questions
What does unfulfilled mean on Shopify?
It means none of the items in the order have been marked as fulfilled. Every order starts as Unfulfilled when it is placed. It does not tell you whether the order is paid; check the payment status in the same row.
Does Unfulfilled mean the customer has not paid?
No. Unfulfilled is about shipping. A Paid + Unfulfilled order is paid and waiting to ship. An Authorized + Unfulfilled order has a validated card but the money has not been captured yet.
How long can an order stay unfulfilled on Shopify?
Shopify does not close it for you. The limits come from elsewhere: a 7-day authorization on Shopify Payments if you have not captured payment, the shipping time you stated (or 30 days under the FTC rule if you stated none), and the customer’s patience.
Why are some orders missing from my Unfulfilled list?
Orders on hold are excluded from the Unfulfilled list. Apps and system processes such as pre-orders and post-purchase upsells can place holds automatically. Filter Fulfillment status by On hold to see them.
Should I turn on automatic fulfillment to clear the list?
Only if you sell digital products or gift cards, or use a fulfillment service that ships for you, and have no products available for pre-order. Shopify warns that if you ship products yourself, automatic fulfillment marks every new order fulfilled and you lose the list of orders still to ship.
What happens if a Shopify authorization expires?
The payment status shows Expired. Shopify says you need to capture within the authorization period to collect the money, so treat an expired order as unpaid: ask the customer to pay again, for example through a new invoice, before you ship.
