Shopify payment pending: the three reasons it shows, and when to ship the order

Shopify Payment Pending: What It Means and When to Ship the Order

An order is sitting in your admin with the payment status Payment pending. The order is real and the items are on it, but you have no money yet. Should you pack it?

Shopify payment pending is one status with three different causes, and the answer to “can I ship it” is different for each. Shopify’s order status page lists them: a non-card payment the provider is still processing, an order you created with payment due later, or an order placed with a manual payment method such as cash on delivery. Telling them apart takes a minute and decides whether you wait, invoice, or ship.

Quick answer

  • Payment pending means you have not been paid. Shopify groups Pending with Authorized, Expired and Partially paid under Unpaid.
  • There are three causes. A provider still processing a non-card payment, payment terms you set, or a manual payment method.
  • Provider-processing payments: wait for Paid. Shopify’s pending payments page says you are not blocked from fulfilling, but to wait until the status is Paid to make sure you get paid. These payments typically expire after about a week.
  • Manual payments: confirm the money first, then Mark as paid, then ship. Mark as paid records the payment and emails the customer a confirmation; it does not collect anything.
  • Payment terms: you decide whether to ship before payment. For a buyer with no payment history, invoice and ship after it is paid. Give net terms only to buyers who have paid on time before, and turn on payment reminders.

Who this is for

Store owners who accept anything other than card checkout: bank transfer, money order, cash on delivery, an alternative payment provider, or invoices to wholesale buyers. If every order goes straight to Paid, this status will rarely appear. If your orders show Authorized instead, that is a different status covered in Shopify capture payment.

Three reasons for Shopify payment pending

The order status page gives the three causes. What each one means for you is different.

Cause What is happening Who moves it to Paid Ship before Paid?
Non-card payment at checkout (cryptocurrency, wire, barcode payments and other alternatives) The provider has started processing but needs time. Shopify says inventory is reserved, “but payment isn’t guaranteed” The payment provider, when the payment completes No. Shopify’s own advice is to wait for Paid
Order you created with Payment due later and payment terms You agreed to be paid on a due date The customer pays the invoice, or you mark it paid when payment arrives another way Your call. For a new buyer, wait for payment; for a buyer with a record, net terms
Manual payment method (cash on delivery, money order, bank transfer, or a custom method) The customer was shown your payment instructions. Nothing has been collected You, with Mark as paid, after the money arrives Only for cash on delivery, where collection happens at delivery

To find which one you have, open the order and look at its payment method and the Payment pending section. If the method is one of your manual methods (cash on delivery, money order, bank deposit, or a custom method you named), it is the manual case. If the order has payment terms and a due date, it is the terms case. Otherwise it usually comes from an additional payment provider.

Pending from a payment provider: wait, and do not try to edit

When a customer pays with a method other than a card, Shopify’s pending payments page says it “can take several days” for the provider to process it, and the provider marks the order Payment pending in the meantime.

What might be blocked while it is pending. The same page lists these actions as ones that might be blocked, to keep Shopify in sync with the provider:

  • editing order items, discounts, or the shipping address
  • restocking items
  • canceling the order
  • manually collecting payment
  • marking the order as paid

The restrictions lift when the payment status changes. Providers on an older platform might not apply them.

What Shopify does next. If the payment succeeds, the customer gets an email saying the payment was received. If it fails, the customer gets an email with a Pay now link to try again. Both are the Pending payment success and Pending payment error notifications in your Notifications settings, and the order timeline shows when each was sent.

When it expires. Pending payments have an expiry date, which Shopify says is “typically a week”; your provider sets the exact date. If the payment fails or is not complete by then, the status changes to Expired. Shopify’s instruction is to contact the provider to find out whether the payment can still be captured before you cancel the order.

Should you ship? Shopify says you are not prevented from fulfilling, but “to ensure that you get paid, wait until the payment status is Paid before you fulfill the order.” For a solo store that is the rule: no Paid, no label.

PayPal Express Checkout shows “Payment is pending”

This one is usually not the customer’s side. Shopify’s page on common PayPal Express Checkout issues says that if you receive an error indicating payment is pending, it suggests the payment was sent to an unverified PayPal account when the order was created. That page covers PayPal Express Checkout; if you take PayPal another way, this cause may not be yours. Verify the email address on your PayPal account; after that, the page says the deposit could take up to two business days. Confirm the money is in your PayPal balance before you mark the order as paid.

Manual payments: confirm, mark as paid, then ship

Shopify’s manual payment methods page covers cash on delivery, money orders and bank transfers, plus custom methods you name yourself. You are not charged third-party transaction fees for manual payments. The customer sees your payment instructions on the order confirmation page, and the order waits as Pending until you mark it as paid.

Mark as paid is a record, not a collection. Shopify’s deferred payments page says to use it when you have already received payment. The amount “isn’t captured again by your payment provider,” and an order confirmation email is sent to the customer. So the order goes to Paid whether or not money exists. Marking it paid on the strength of a screenshot of a bank transfer is how stores ship unpaid orders.

The order of steps:

  1. Check your bank or payment account, not your inbox. A transfer confirmation from the customer shows they started it. The deposit in your account shows it arrived.
  2. Match the amount to the order total. If the customer sent less, ask for the difference before you mark anything.
  3. Mark as paid. In the order, go to the Payment pending section, click Collect payment, then Mark as paid.
  4. Fulfill. The order is now a normal paid order.

Cash on delivery is the exception. The carrier or courier collects at the door, so you ship first by design. Shopify’s setup instructions say to check with your bank or delivery service exactly what a customer has to do to complete the payment, and to put that in the payment instructions. Mark the order as paid when the collected money reaches you, not when the parcel is delivered.

Payment terms: choose the terms per customer

Payment terms are most common on orders you create yourself, such as wholesale or phone orders, but the deferred payments page says you can add them to an order in Payment pending status, such as a manual-payment order. Adding terms to a manual-payment order also lets the payment reminders below go out on their own. The page lists four kinds of terms:

Term When payment is due
Due on receipt The day you send the invoice
Due on fulfillment The day you fulfill all items in the order
Net 7, 15, 30, 45, 60 or 90 That many days from the issue date
Fixed A specific date you choose

You can add, edit or remove terms on a Payment pending order from its Payment pending section. If the order is not paid by the due date, the deferred payments page says it becomes Overdue; the order status page shows orders due today and overdue under Due.

Turn on payment reminders. Under Settings > Notifications > Payment reminder, you can set up to five reminder emails, on the due date or up to 30 days after it. Reminders go only to orders that have payment terms, and not to subscriptions, preorders, or try-before-you-buy orders.

Forvendo decision rule: ship, wait, or chase

If the order is Do this Why
Pending from a payment provider, less than a week old Wait. Do not pack it The provider decides the outcome, and editing, canceling or marking it paid might be blocked until it does
Pending from a provider and now Expired Contact the provider before canceling Shopify says to ask the provider whether the payment can still be captured
Bank transfer or money order, and the deposit is in your account Mark as paid, then ship This is the normal path
Bank transfer or money order, unpaid after the window in your payment instructions One reminder, then cancel with Restock inventory selected Shopify’s canceling page says Restock inventory returns the canceled items to your inventory, so they can sell again
A first order from a new wholesale buyer Due on receipt, and ship after the invoice is paid You have no payment history with this buyer yet, and a shipped, unpaid order is the hardest one to fix
A repeat wholesale buyer who has paid on time before Net terms you can afford to carry, with reminders on The terms are part of the relationship; the reminders do the chasing

Quick ROI test for manual payment methods. Count the manual-payment orders from the last 90 days and how many were never paid. If the never-paid share is high, and each one cost you two or three messages, the method is costing more than it brings in: the card processing fees it avoids and the orders from customers who would not pay by card. Shopify says manual payments carry no third-party transaction fees, but on Shopify Payments you would not pay those on card orders either, so your time is the real cost.

Do not do this yet: do not add a manual payment method to a store that sells limited stock until you have placed a test order with it and checked whether your available count dropped. If it did, every unpaid order holds its units until you cancel it and restock them.

Do not cancel a shipped order to tidy up the list

An order that was fulfilled but never paid looks like clutter. Shopify’s canceling orders page is clear about what canceling it does: “Canceling an order prevents you from collecting payment.” To get the items back, it points you to the returns process instead.

So for a shipped, unpaid order, send an invoice. In the order, click Collect payment > Send invoice; the deferred payments page says the email has a link to the checkout page where the customer can pay. Cancel only an order that is both unpaid and unfulfilled. For that one, the canceling page says the payment status changes to Voided if nothing was captured, and archiving is the cleanup step.

Worked example

A composite example, not a real store. A solo store sells ceramic planters and offers Bank Deposit as a manual payment method, with instructions that say payment is due within 5 days.

  • Monday: order #2051 for $260 arrives with Bank Deposit. Payment status: Payment pending. Two of the last three planters in that glaze are now on this order.
  • Tuesday: the customer emails a screenshot of the transfer. The owner checks the bank: nothing yet. No action.
  • Thursday: $260 appears in the business account. The owner clicks Collect payment > Mark as paid, and the customer gets the order confirmation. The planters ship that afternoon.
  • The same week: order #2049, also Bank Deposit, is still unpaid on day 5. The owner sends the reminder below. On day 8, with no reply, they cancel it with Restock inventory selected, and the planter is back on sale.

If #2051 had been shipped on Tuesday on the strength of the screenshot, and the transfer had never arrived, the order would have been fulfilled and unpaid. Canceling it would have ended collection through the order, and the planters would be recoverable only through a return.

Copy-paste: payment reminder for a manual payment

Subject: Your order [#2049] is reserved - payment details inside

Hi [first name],

Thanks for your order. We have not received the payment for it
yet, so it has not shipped.

Amount: [order total]
Pay by: [payment method and account details]
Reference: [order number]

We are holding your items until [date]. If payment has not
arrived by then, we will cancel the order and release them.

If you have already sent it, reply with the date you sent it and
we will check again.

For an order with payment terms, use the built-in payment reminders instead. For a provider payment that failed, Shopify already emails the customer a Pay now link.

Daily pending check

  1. Filter by payment status: Pending, oldest first.
  2. Manual methods: compare against yesterday’s deposits. Mark as paid what arrived. Remind or cancel what passed your window.
  3. Provider payments: leave them alone unless one turned Expired. Then contact the provider.
  4. Payment terms: look at Due. Reminders handle the first emails; overdue past your last reminder is a phone call or a stop on further orders.
  5. Before you print any label, confirm the order says Paid, unless it is cash on delivery or an order on terms where you chose to ship before payment.

The wider order triage, including shipping deadlines and holds, is in Shopify unfulfilled orders.

Frequently asked questions

What does payment pending mean on Shopify?
It means the order exists but you have not been paid. Shopify gives three causes: a non-card payment the provider is still processing, an order you created with payment due later, or an order placed with a manual payment method such as cash on delivery. Shopify counts Pending orders as Unpaid.

How long can a Shopify payment stay pending?
For payments processed by an additional provider, Shopify says the expiry date is typically a week, and the provider sets the exact date. After that the status changes to Expired. Manual payments and orders with payment terms stay pending until you mark them as paid, the customer pays the invoice, or you cancel the order.

Should I ship an order with payment pending?
For provider payments, no: Shopify says to wait until the status is Paid. For bank transfers and money orders, ship after the money is in your account and you have marked the order as paid. Cash on delivery is the exception, since the carrier collects at the door. For orders on payment terms it depends on the terms you chose: with Due on receipt, ship after the invoice is paid; with net terms, shipping first is the credit you agreed to give.

How do I mark a pending order as paid on Shopify?
Open the order, go to the Payment pending section, click Collect payment, then Mark as paid. Shopify does not capture the amount again, and the customer gets an order confirmation email. If the customer paid through an additional provider, Mark as paid may be blocked while the payment is processing.

Why can’t I cancel or edit an order with payment pending?
When an additional provider is processing the payment, Shopify might block editing, restocking, canceling, collecting payment and marking as paid, to keep its records in sync with the provider’s. The restrictions are removed when the payment status changes. Shopify’s canceling page also says an order in Pending payment status with scheduled payments might not be cancelable.

What is the difference between Payment pending and Authorized?
Shopify displays Authorized only if you capture payments manually: the payment information was validated and you have a limited time to capture it, 7 days for card payments on Shopify Payments. Payment pending covers the other three cases: a provider still processing, a manual method, or payment terms.
